Privacy Policy

1. Who We Are

Relic Care ("Relic Care," "we," "us," or "our") provides AI-enabled conversational assistants ("Relic AI") that support long-term care facilities, their staff, and the patients/residents and families they serve — including language interpretation, routine logistical conversations, and staff-utilization support.

This Privacy Policy explains what information we collect, how we use it, and the choices available to you, whether you're a facility administrator, staff member, or a patient/resident/family member interacting with Relic AI.

2. Information We Collect

  • Account & Contact Information — name, email address, facility name/role, and similar identifying details for facility staff and administrators who set up or manage Relic AI.
  • Conversation Data — the content of interactions with Relic AI’s assistants, which may include health-related or care-related information shared by patients, residents, or staff in the course of using the service.
  • Usage Data — IP address, browser/device type, pages visited, timestamps, and similar diagnostic data collected automatically as the service is used.

3. How We Use Information

We use collected information to:

  • Provide, operate, and improve Relic AI's services;
  • Support facility staff in delivering care (e.g., surfacing conversation summaries to authorized staff);
  • Communicate service updates, and, where you've opted in, newsletters or marketing;
  • Analyze aggregated, de-identified usage trends to improve our services for the long-term care industry.

We do not use facility, patient, or resident conversation data to train models shared across other customers or the broader public without explicit, separate consent. Any use of data for model improvement is limited to the facility’s own deployment unless a customer opts in otherwise.

4. Health Information & HIPAA

Some information shared with Relic AI may relate to a patient or resident’s health or care. For facilities that are HIPAA "covered entities," we will enter into a Business Associate Agreement (BAA) upon request, governing our handling of Protected Health Information (PHI) consistent with HIPAA’s requirements.

Note: Relic Care is not currently independently certified under a formal HIPAA or SOC 2 audit — see the "Security & Compliance" page for our current, honest compliance posture. This section describes our data-handling commitments and BAA availability, not a certification claim.

5. Sharing of Information

We do not sell personal information. We may share information with:

  • Sub-processors who help us operate the service (e.g., cloud hosting, and language-model providers), under contractual confidentiality and data-protection obligations;
  • The facility itself, since Relic AI is deployed on behalf of, and accessible to, the facility that administers it;
  • Legal/regulatory authorities, where required by law.

6. Cookies & Tracking

We use cookies and similar technologies (session, preference, and security cookies) to operate and improve the service. You can configure your browser to refuse cookies, though some features may not function properly without them.

7. Data Retention & Deletion

We retain personal information and conversation data for as long as needed to provide the service and meet legal/record-keeping obligations, or as otherwise agreed with the facility. Facilities and individuals may request access to, correction of, or deletion of their information by contacting us (Section 11) — we will respond consistent with applicable law and any facility-level data agreements.

8. Your Privacy Rights

Depending on your state of residence, you may have rights to know what personal information we collect, request its deletion, or opt out of certain uses. To exercise these rights, contact us using the information in Section 11.

9. Data Security & Breach Notification

We use commercially reasonable technical and organizational measures to protect personal information. No method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

Security incidents affecting your personal information are covered via our agreement with various client facilities. All security incidents are handled as per the signed agreements, and any applicable BAA, and may vary by state law.

10. Children's Privacy

Relic AI is intended for use by adult facility staff and adult patients/residents (or their authorized representatives). We do not knowingly collect personal information from children under 13.

11. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be posted on this page with an updated effective date, and where appropriate, communicated directly to facility administrators.
